Minutes of the Group Meeting held on Monday Dec 11th 2006.
 
THOSE PRESENT. MINUTES OF LAST MEETING 25-09-06. Agreed.
 
MATTERS ARISING. None.
 
REVIEW OF EVENTS.
 
Newquay 10k. Entries 411-2006, 329-2005. GD. Everyone thought it was a good race, and well organised. Training bibs awarded to all finishers a good idea and well received. Only complaints were from N.R.R. members marshaling re traffic problems.
Cornish Marathon.  Entries 216-2006, 194-2005. CB advised too many cars following the runners in very narrow lanes.With regards to personal safety, should runners be using MP3 players? Lovely course and weather good. HC apologised for only one team prize but had since corrected it. Query as to which team wins when two teams finish level on points. (goes to team with the highest placed, last counting runner ).
HC advised that trophy bill for the race exceeded £900. Also queried whether "food available at drinks station" was welcome or not. Most thought it was a good idea. HC welcomed suggestions as to how the event could be further improved. CB suggested a Cornish Marathon medal, HC would prefer something different/unique .
Mob Match.  Entries 350-2006, 250-2005. DA advised they ran out of pasties. RC said there was confusion over where the actual finish line was (photographers present had apparantly moved them to obtain a better view ). The "finishing funnel"  became blocked at times due to t shirts awarded to finishers having to be sorted into correct sizes prior to handing out. CT advised several of the slower finishers were not included in the results shown on the day. GD disappointed that CAC had been awarded prizes for both an "a" team and a "b" team, when the whole idea of the event is a "mob match" ie a "club" event and not a "team based " event.
Grand Prix awards presentation. DA advised that the Falmouth Beach Resort Hotel had been very supportive. Presentation went very smoothly with thanks again to GD, LD, & PB for a job well done. CT thought that the trophies were excellent. Thanks again to  GD,LD & PB for arranging the purchase of all the prizes etc.
Xmas Turkey Trot. Entries Entries 243-2006, 196-2005. DB apologised for the "paper numbers" and the problems it caused. It was a grotty day, which didnt help. Fun run numbers were down. Problem on the day with TD,s re car parking and their customers present for Xmas lunch.
 
 
Changes to Grand Prix Guidelines. Amendment to Results/Prizes 6b.  Proposed by GD, seconded by CT,  Mens teams-First 3 with SIX runners to count. Ladies teams-First 3 with FOUR runners to count.
This would bring ALL the RACE DAY prizes exactly in line with the GP series prizes. The Duchy and Cornish Marathon prizes to remain as it is, i.e Mens teams-FOUR runners to count,Ladies teams- THREE runners to count. MOTION CARRIED.
 
Guidelines for Organisers of Grand Prix Races. Proposed by GD,seconded by CT. With the exception of 1(i), 5(e) & 5(f), which are items of information only, and 2(1) (the section in brackets only) and 4(b) recommendations only, all other items listed to NOW BECOME COMPULSORY.  MOTION CARRIED. PS to amend and re-word the appropriate document, CB to update www.cornwallroadrunning  website.
 
OTHER MATTERS FOR AGREEMENT. DA to continue negotiations with Mark Stephenson re numbers/prices etc.of "Delays Possible"and "Caution Runner" signs.  Regarding the "Delays Possible" signs, all race organisers must ensure that a contact number and a map of the course are sent to CB for inclusion on the website prior to the event.
 
Grand Prix tables. New arrangements for 2007 will see DA and GP (Gary Player-E.C.H.) responsible for compiling the mens results and DR, the ladies. Each individual runner will be responsible for checking their own results in the tables. Anyone finding an error must report it to their own club,s representative, and NOT to DA, GP or DR. The club rep must then email DA..subject matter "GRAND PRIX" and advise him of any errors. As in the past, no amendments to errors will be made prior to the previous two races that the error occured. All references to KIT UK (the previous sponsor of the laptop we use ) to be deleted. PS to amend the Competitors Rules and Regulations document accordingly and forward to CB for amendment on the www.cornwallroadrunning website.
 
Financial Report.  No report available. (JS had only returned from her annual 6 week holiday the previous day.)
 
COUNTY MATTERS. The Cornwall/Devon inter County Challenge (now known as the Peninsular Cup-sponsored by Peter Ferlie/Ironbridge Runner in Exeter ), will comprise of  Mens team, 8 runners-6 to count, and Ladies team, 6 runners-4 to count. Normal "County qualification" rules to apply. PS, together with DA and AR to organise. The County will pay the entry fees for those selected.
Nomination for Road Race officials etc. These to be sent to Mike Hanson. CT advised that HR had already sent one in.
PB suggested it was time to organise, in liaison with Derek Burrows, another course for "timekeepers" and "finishing line recorders."  Sticker F.C. could be made available as a venue for the course if required. All clubs requested to send at least one member along. Clubs to forward details of their nominees to DA.

DA had heard that Tri Logic were now affiliated to the C.A.A.A. DB to confirm with Mike Hanson.
Chip Timing for GP races. CB had obtained details of costs involved,  which included hire charges for one mat-£600, £1-25 per chip (£4 if not returned).They can only be hired, and are not available for purchase. In addition there would also be a "training" fee of £300. Overall, this adds up to around £1200 per race, which equates to around £2-50 per runner. CT asked that with the numbers involved at the Truro Half and the time taken to cross the start line, should the group consider offering financial support to that event to enable them to use chips.
S.W.Regional meetings. CB advised that these were held quarterly in Exeter on a Saturday morning.As there were no volunteers to attend forthcoming, DB suggested a rota of the four biggest clubs. CB will inform all of the details of next meeting.
Probus 10k. RC asked if the group might consider his Probus 10k race for 2008 GP series.This years race would be based at the school on Sept 9th. CT suggested that if this race was put on to GP standards, his club would support it, and hoped other clubs would do likewise.
GD thanked all those who supported the raffle at the GP presentation of awards. All proceeds were donated towards SW schools xc fund raising. Following a request from GD, it was agreed that the group would donate £50 for an advertisement detailing all GP races for 2007, in the S.W. Schools Championships programme.
CH advised that this years An Resek Hellys would be based at the Rugby Club, and not the Cricket Club as in previous years.
DB asked if An Resek had or could be measured, as there were queries over the exact distance. PS advised that Multi Terrain courses could not be measured officially as "accurate."
DB queried the current system used by some clubs for their "group bookings " of entries. CT advised that the advantages far outweighed the disadvantages, provided that race organisers were prepared to accept them in this form. From his point of view, it meant that far more runners from his club would take part in any particular race.
PB had received a request from Sarah Snell (Cornwall Hospice Care ) as to whether or not the group could adopt this charity, and/or whether individual clubs could consider including an option to support this charity on their entry forms.CT suggested that it wasnt really practical as several clubs and individual runners already support a particular charity.
CT expressed concern re suggestions coming from SEAA about future levy fees on individual members.
HC advised that the extra £1 unaffiliated fee received from runners in the Cornish Marathon went to charity.
