Minutes of the meeting held Sept 19th 2005

MINUTES OF THE LAST MEETING:

The minutes were agreed.

MATTERS ARISING:

Falmouth 10k.D.A.has still not written but will endeavour to do so.

The new www.cornwallroadrunning.co.uk website was up and running. CB asked whether or not it would be appropriate alongside any race preview to include a list of pre-entries. With JS responsible for entering these into the computer well in advance of race day, there was no reason why not.

Duchy 20 Review. In response to a letter received from a Devon competitor re the total lack of recognition to those taking part in the 20 miler, AR responded by stating that the 20 miler was advertised as a run and not a race, and there was never any mention of prizes on the entry form or advertisements. Competitors paid a greatly reduced entry fee compared to that of the marathon, but still received a medal, a pasty, and a different coloured number to those in the marathon. In addition, they were able to take advantage of a fully marshalled and manned course, which had been certified accurate, and separate timekeepers.

REVIEW OF RACES:

Boconnoc 5: NT reported that it was a good race.

Tree Tops 5: 2004-319 entries, 2005-360 entries. GD reported that the only problem had been the number of fun runners leaving the car park during the main race. Not being able to use the Tree Tops Inn had been no great loss, using the school, as the H.Q. had been excellent. CT reported that some runners mistakenly took the fun run finish line (painted on the road), for that of the main race finish line.

Meet Your Max: 2004-175 entries, 2005-220 entries. KW reported that their feedback had been that it was a nice race. He reiterated that they did not want the race included in the GP series, as it would then become too competitive, which in turn would make the course too unsafe.

Launceston Mid-Summer 5: 53entries. Well organised race, but low numbers due to closeness to M.Y.M. New date for 2006.

Sticker 5: 2004-265 entries, 2005-339 entries. PB reported football club happy. Large number of female entries resulted in problems with toilets. Will consider a drinks station on course next year for the slower runners.

Launceston Half: 2004-262 entries, 2005-275 entries. DG reported he had problems before the race with marshals not arriving. Course much safer this year. CT reported Hayle club thought it was an excellent “value for money” race.

Mid-Summer Turkey Trot: 2004-229 entries, 2005-289 entries. AR reported race took place on hottest day of the year. The drink station put on at the last moment could have done with more helpers, and also more water available at the finish. It was noted that there was a lot of additional traffic movement in the finishing straight this year. AR also asked for thoughts on whether all finishers should receive a medal/t-shirt etc. Consensus was that something should be given. C.A.C. again let down by no show from S.J.A.B. This problem has now been rectified on a County -wide basis. (See AOB). LW suggested that the presentation could have commenced much sooner bearing in mind it was an evening race. CT asked why there was no finishers’ memento. CT also pointed out that there was no veggie food available at the b.b.q. AB apologised that it was an oversight.

Magnificent 7: 2004-350 entries, 2005-351 entries. (NB Race limit of 350 entries.) CB reported that he was very happy with how it went. SJAB did turn up but only at the last minute. Good support from the police.

Indian Queens Half: 2004-237 entries, 2005-269 entries. KB reported SJAB were excellent. System of using two desks for collection of race numbers worked very well. Apologised for having drinks on one side of the road and sponges on the other side of road at the 6-mile mark. (but it was a very narrow road !! ). PS reported marshalling on main Castle-an-Dinas road quite hairy, where CT narrowly avoided a collision with a car, (luckily for the car !!)

St Levan 10k: 2004-142 entries, 2005-201 entries. CT reported that both the main race and the fun run started together, and with many runners facing the wrong way when the race started, resulted in several runners being brought down. Steve Chapple (Race Director) has said that he will rectify this problem for next year.

Crantock Bay Coastal Run. (Women only): 53 entries. Didn't appear to be publicised enough, and also clashed with another fun run at nearby St Agnes. PB reported that it went well and everyone enjoyed it.

Truro Half Marathon: 2004-468 entries, 2005-574 entries. Excellent event with a big city race feel to it. LW reported they had plenty of SJAB together with a rapid response vehicle. SJAB ambulance also managed to demolish the finishers’ gantry. There were very long queues before the race when runners were collecting their numbers, but LW has plans in hand to avoid this problem next year. Timekeepers reported that it was a brilliant race and the new finish on Lemon Street worked very well. The traffic was a problem in places and there were reports of marshals being abused. To counteract this problem, TRC are investigating the possibility of a quieter rural route for next year.

 

GRAND PRIX MATTERS:

With the loss of the Piran Surf Run, there were now only 13 races in the series. There was no problem with all of them being allowed to feature again in 2006. AR pointed out that there had been no reason to issue any event with a “warning” this year, because all organisers were now aware of the standards that were required.

The following race dates were confirmed for 2006.

INDIAN QUEENS HALF Sun Aug 6th

Dates to be confirmed: Truro Half, Newquay 10k and Cornish Marathon.

 

New races for 2006:

L.R.R. advised that they were at an advanced stage with the planning of their first ever race, The TREGGY 7 on a suitable date to be arranged, and requested that it would be included in the series for 2006.

MH confirmed that the club were fully aware of the standards required and were more than confident of meeting the requirements. It was agreed unanimously that this race would be admitted to the series in 2006.

H.R.R. confirmed that they were hoping to put on a beach run on Hayle Towans, similar to the former Piran Surf Run. This run was not to be considered though for entry to the GP series.

They were also investigating a possible half marathon starting from St Just and finishing at the St Ives Leisure Centre with a view to it becoming a GP race in 2007.

DG advised that the new date for his Mid-Summer 5 would be May 7th, and after originally hoping to have it included in the 2006 GP series, withdrew his request to ensure full support be given to the application from L.R.R. for their TREGGY 7., a gesture which was acknowledged by all present.

It was generally agreed that we should be looking to introduce new races so as the series does not become stale. AR pointed out the geographical advantage of including the race at St Ives.

RH asked why it was that no members of Moorhaven A.C. were included in the GP results. It was assumed that DR was unaware that they were eligible.

BC asked (6 months belatedly!) why Carn Runners had not been included in the GP team results for the Duchy Marathon.

CT suggested that trophies should be awarded to the first three teams in the GP awards instead of just the winners as at present. This was agreed.

GD and PB authorised to arrange the purchase of the GP awards for 2005, with a ceiling similar to 2004 of £1300.

Forthcoming events:

GD reported that everything was ready for the Newquay 10k.

HC reported that the finish of the Cornish Marathon had been moved to an adjacent area. This was because the Millenium Centre was unavailable this year.

DA reminded all present of the new date of the Mob Match i.e. Dec 4th. (One week later than normal to allow an extra weeks recovery for the Cornish Marathon runners). At this point he was advised that this clashed with the S.W.X.C. Championships which would take a lot of runners away from the Mob Match. Although the venue for the Mob Match and GP presentations had been booked for a long time, he would look into the possibility of changing the date.

Other matters:

GD reported that he was concerned that at last years GP presentations at which himself and PB acted as “MC, s”, there were murmurings from certain quarters that Newquay R.R. “were running the show again”, when in fact, all they were doing was calling out the results and winners etc, having been asked to do so by the GP organisers. Any repeat of last year, and he will just walk away.

DA, PS, and PB had all been approached by various runners for the group to consider splitting the GP Ladies Vet 50-59 category into two, namely Vet 50-54 and Vet 55-59. After looking at the statistics, this was agreed. (C.R.R.& R.G. Guidelines for Organisers of GP Races, Section 6b to be amended accordingly).

FINANCIAL MATTERS:

JS reported a balance in hand of £2373-84, with the Capio Duchy sponsorship of £850 still to be included.

NT advised that, although happy with how it had gone, they would not be renewing their sponsorship for 2006. All present were requested to go back to their clubs and investigate the possibility of recommending a new sponsor for 2006. NT would be looking for a minimum of £1000 which, when considering it, comprises at least 14 events over a 12-month period, represents very good value to a prospective sponsor. Organisers of races in 2006 are reminded to NOT include any reference to the CAPIO.DUCHY HOSPITAL. G.P. series etc on their entry forms and advertising.

The GP Levy on all race entries, currently 50p per runner, remains the same for 2006.

COUNTY MATTERS:

CB reported that he had attended the recent SW Hub meeting. It had been agreed that as from Jan 1st 2006 the unaffiliated entry fee would be £2.

The Cornwall/Devon Team Challenge, (incorporated last year within the Plymouth Hoe 10), had now been expanded and re-named the S.W.R.R.Championships and would include all Counties in the SW Hub. Next year, these will be incorporated within the Taunton Half Marathon on Sun April 2nd. Each County will be expected to select 8 runners for their team, and County vests will be supplied. (Full and further details nearer the time)

COACHING MATTERS:

There was nothing to report.

AR reported that the Redruth 10k would take place on Sun Oct 16th.

Rather belatedly, Ian Matthews and his new club Mounts Bay Harriers were welcomed into the Groups fold, and assured that they were fully fledged paid up member’s etc.

CH asked if clubs should consider starting their races earlier. This matter had been discussed in the past, resulting in several races doing just that.

Re problems with the non-appearance of the SJAB at several events, PB reported that he had been asked to advise the meeting that the SJAB Commissioner was aware of the problems, and he had taken the appropriate action to ensure that they would not re-occur in future.

CT proposed that we consider increasing the number of counting runners in the Men's teams to 6, and the Ladies teams to 4. This would be for all GP races, WITH THE EXCEPTION OF the Duchy and Cornish Marathons, which would remain as Men 4, and Ladies 3. The proposal was agreed. (The C.R.R.& R.G. Guidelines for Organisers of G.P. Races, Section 6b to be amended accordingly).

PS will send out the necessary information to all clubs regarding the Cliff Temple Memorial Shield.

With no other business to conduct, the meeting closed at 9-30pm.
