Minutes of the meeting held April 25th 2005

MINUTES OF THE LAST MEETING:

The minutes were agreed.

MATTERS ARISING:

Falmouth 10k. 50p levy still not paid. PB said that they had received money under false pretences. DA to write a formal letter.

New S.W.athletics website. General concensus was that it was not very satisfactory from our Road running point of view. Information out of date. CT had difficulty even finding the Cornwall Road Running pages.

REVIEW OF RACES:

Mounts Bay 10k. 316 entries (only 264 starters, possibly due to virus going around). 50 entries turned away. Always over subscribed, organisers investigating possibility of “bonded places” becoming available. CT relatively pleased. He had lost a major sponsor and had to adjust budget accordingly. Query over lead vehicle, and no first aid cover at finish. CT said they had been let down by St Johns. Generally agreed that it was a good race.

Duchy Marathon & 20 mile race: Combined total of 251 runners. DB fairly happy. Car parking was a head-ache, but will have more support from Penventon next year, with additional parking, and showering facilities. No first aid facilities for competitor who collapsed at the finish, but CAC had been let down by St Johns, although booking had been made 12 months in advance. Generally agreed that it was a really nice race.

Piran Surf Run: Although Pete Foxwell re-appeared on the scene to get proceedings underway, he was unable to meet many requirements required of a GP event, and the event was subsequently cancelled. Lessons must be learnt from what had happened.

An Resek Hellys: CH said it went pretty well. She regretted that toilet and changing facilities advertised never materialised (building work not completed). There were a few errors recording the results due to incorrect paperwork. Date for next years race to be reviewed due to clash with London Marathon.

Tresco Marathon: Reports that it was an excellent race.

GRAND PRIX MATTERS:

With the loss of the Piran Surf Run, there are now only 13 races in the series. Truro R.C. advised that they didnt wish that their Meet Your Max race filled the vacancy, preferring to keep it as a social event. Agreed that minimum number of races completed to qualify for this years series be reduced from 8 of the 13, to 7 of the 13. Meeting advised that there was probability of new races next year that may wish to be included in future series.

 

Guidelines for organisers of Grand Prix Races:

A draft document produced jointly by PS, NT and DA was circulated for discussion, and the following additions/amendments were to be made.

1h (General) Add: Organisers must prepare and display a copy of the “Risk Assessment”

2k (Race Entry Forms/Race Literature) Add: Waterproof numbers, with medical details on reverse, must be used.

4b (Course) Amend: It would be “preferable” that any course used would be “left -handed”

4f (Course) Add: Adequate first aid must be available in relation to the course and the number of competitors.

4j (Course) Add: Where appropriate.

5c (Finish Area) Amend: “Qualified officials” to read “Experienced officials”.

With reference to 6b.PB asked whether or not organisers must give “finishing mementos”. It was agreed that that decision should be up to the individual race organiser.

Forthcoming events:

PB advised that race H.Q. for the Tree Tops 5 would be at the school, and not the pub.

COUNTY MATTERS:

It was noted that the last meeting took place on the same weekend as the London Marathon. CT expressed his “far from complimentary” thoughts.

FINANCIAL MATTERS:

JS reported a balance in hand of £1109-59, with levy fees of £156 (MB 10K), £82-50 (Duchy marathon) and £13-40 (Duchy 20), still to come in.

It was agreed to purchase a new megaphone for general use, and three “ stay dry-boxes” for those recording times and results at the finish.

COACHING MATTERS:

There was nothing to report.

A.O.B:

PB asked if we should be considering a refresher course for officials working on the finish area.

A couple of minutes silence was observed in memory of Bill Muller and Vic McKee, who had both passed away in recent months.
