AGM and Group meeting held on Monday September 25th 2006.

ANNUAL
GENERAL MEETING.
ITEMS TO BE RATIFIED. None.
AMENDMENTS TO CONSTITUTION. None.
AMENDMENTS TO GRAND PRIX RULES. None. Re: Guidelines For Organisers of Grand Prix Races. The question of
whether these should be "guidelines" or actual "rules" was
discussed. Decided that this should be an Agenda item for the next group
meeting. DA to action.
TREASURERS REPORT. JAS advised
that the current balance in hand amounted to £3687-56. (This did not include
S.H.P.T.C. sponsorship money). Total income for Y/E 09/06 £2508-40. Total
Expenditure £646-46.
Proposed by DB, seconded by HC, the
accounts were duly accepted.
RACE LEVY 2007. To remain
at 50p per entrant. Proposed by GD,
seconded by CT.
FINALISATION OF RACES FOR 2007. The same 14 races used in 2006 will be used again in 2007.

C.R.R.&
R.G.MEETING.
MINUTES OF LAST MEETING 03-07-06. Agreed.
MATTERS ARISING. Donation to
S.J.A.B. Group will
make a donation of £200. Proposed by DB, seconded by JAS. PS & PB to action.
Grand Prix
Results Co-ordinators. DA & Gary Player will share the Mens, DR will
continue with the Ladies.
RACE REVIEW.
Turkey Trot. Entries 362-2006, 289-2005. DA. Everything appeared ok.
Magnificent 7. Entries 350-2006,
351-2005. (Race limit-350). Race went well, no problems. Shortage of toilets
(race clashed with the Sport 4 All event), and showers not available. CT regretted absence of the cake
stall.
INDIAN queens half. Entries
336-2006, 267-2005. KB advised
excellent turnout. Some toilets were out of action. Passing Police Officer,
(unaware of policing arrangements with KB) not happy with marshalling near
Trekenning Roundabout. 7 donations of £100 each made to village charities.
Tywardreath Trotter. Entries
130-2006, New event. Matt Ward (organiser) was pleased with how it went. PS advised runners thought it was a
lovely race, nice course. Approach to the finish area not too good. Finish area
could probably only cope with around 150.
St Levan 10k. Entries 175-2006,
201-2005. Separate starts for 10k and fun run eliminated previous years
problems. Inexperienced recorders on the finish resulted in big problems for
JAS compiling results.
TREGGY 7. Entries 269-2006, New event. MH reported event went very well, and
he was very pleased, only minor problems. He said he had had a very busy day,
and there was a lot involved in putting a race on. He thanked all present for
their support. He had received a letter of praise from Neil Tweedie. LD
"lovely run, but the showers were cold." BC "Lovely
course." CT. "First mile mark in wrong place, second mile mark blown
over, but very good race." KB. "Goody bag contained rice
pudding and jelly, could he have a spoon next year." GD
"Prize giving excellent, very good atmosphere." Vote of thanks from
all at meeting to MH and LRR.
Probus 10k. Entries
113-2006, New event. Race clashed with other events. GD advised race ok but requires a bit of tweaking here and there. LD "lovely race but the showers
were cold. (Again!!), but loads of cakes available.
Truro half. Entries 698-2006,
574-2005. Excellent turn out .PS
reported on behalf of Lisa & Keith Wotton. No "entry forms"
available for entries on the day, but copies soon made available. No paperwork
available for timekeepers and recorders, (misunderstanding by KW), but spare
set carried by Ann Shapland, and further copies made available, problem soon
sorted. As far as KW was aware, there didn’t appear to be any further problems
on the day. DA had gained the impression that K & L had not received a
great deal of help from club members prior to the event, but had turned out in
force on the day. CT suggested that
the starting area was now too restricted for the present numbers taking part.
Because it was taking the slower runners "extra" time to cross the
start line, should we now be considering using chips. (KW did in fact mention
the possibility to PS after the race.) Apart from that he thought it was
excellently organised.
Other events.
Hayle WRN race. No feedback
available.
Vale of Lanherne Chase, St Columb Major. Un-permitted but long- standing event, but organisation leaves a lot to
be desired. Club runners should not
really be competing in such events. CT suggested
that all clubs should advise their members that if they insist on taking part,
they refrain from wearing a club vest.
Hayle 4. CT advised that
there was a possibility of Hayle Runners becoming involved in this race in
2007.
ANNOUNCEMENTS CONCERNING FORTH COMING EVENTS.
Newquay 10k. GD advised over 300 entries had already
been received.
Cornish Marathon. HC advised that Ginsters were the new
sponsors of the race.
Mob Match. DA advised that
entry forms would be available shortly.

COUNTY MATTERS.
Devon/Cornwall Challenge 2007. Despite concerns raised by DB, who believed some of the County’s leading
runners might not be in favour of running this distance at this time of the
year, (10 Mile race in Feb interfering with spring marathon training etc), it
was agreed that Cornwall should support the event, and select the best teams
that are available and willing to run on the day. PS to advise CB/Devon of our decision.
Road Race Officials. MH reported that UKA have introduced a new Endurance Officials Grading
Scheme that will recognise and accredit all those who officiate at Road, Cross
Country and other "Endurance " events. "Application For
Grading" forms were distributed at the meeting. On receipt of a completed
application form, the C.R.R.& R.G. will be able to recommend either a Level
1, 2, or 3 grading. All clubs must notify their members as to when and where
training becomes available. MH also advised that Race Organisers who do not use
graded officials will find that their insurance cover is invalidated. Insurance
cover will be linked to the grading of the officials used. Every race should
also have a graded referee. CT suggested that if the UKA plans were
implemented within the time scales suggested, our Grand Prix races in 2007
would not receive a permit. Generally agreed to monitor the situation at
present, as the UKA plans were unlikely to materialise and take effect that
quickly.
Grand Prix Awards and Presentation. This will again take place after the Mob Match on November 26 at the
Falmouth Beach Hotel, PB & GD as MC. PB & GD to organise purchase of
trophies /awards etc as in 2005. First 10 men and First 10 ladies in the "
Open " categories to receive individual "position related"
trophy, i.e. 7th Male Overall, 9th Female Overall etc.
Cliff Temple Memorial Shield & The St Austell
Trophy, awarded to the most improved male and female runner. All
clubs are requested to nominate the runner and/or runners who they consider
have made the most "year on year" improvement. Full details of all
that runners performances throughout 2005 and 2006 will be required. All nominations
to be forwarded to DA ASAP, and certainly no later than November 12th.
COACHING MATTERS.
Nothing to report.

BP reported that CB had been representing
the County at the S.W.Regional meetings in Exeter, but would prefer if someone
else would do so. Suggested that a rota be drawn up, and decided that this
should be an Agenda item at the next Group meeting. DA to action.
DB reported that he had attended a County
Development meeting, where it was suggested that more clubs should be getting
involved in "Clubmark" There was a lot of work involved, including
Child Protection and Health & Safety issues, but the advantage of doing so
was the increased likelihood of club funding becoming available.
HC reported that ECH were considering a
new race in May, possibly re-introducing the Liskeard half marathon.
PS suggested the possibility of obtaining
"Advance Warning" signs notifying motorists of possible delays due to
road race. Agreed that this was to be investigated. PS to action.
PS suggested that the achievements of
Daniel Simons and Zelah Morrell, both C.A.C. being awarded international vests
should be minuted. This was agreed.... (and here it is! )
PS asked " Should we be doing more
to encourage more unattached runners to join our clubs, noting that there were
around 250 in the Truro half, and several thousands in the Race For Life
series? " Opinion was if they wanted to join a club they would. PS advised
he would write a related article encouraging runners to join a club for the
local newspapers sometime around the New Year.
There being no
other business to transact, the meeting closed at 21-55 hours.
